Project Overview:

Coca-Cola India Pvt Ltd is the regional headquarters for the marketing operations of the iconic and world leading beverage company Coca Cola. With the responsibility of managing the growth of business in the South Asia region, the organization needs to coordinate marketing activities and events with a team that is spread over several countries.

These business demands create the need for great teamwork, and make any enabling tools extremely valuable to the business. Therefore, the infrastructure to quickly and conveniently connect and share data via video collaboration was a critical element visualized for their new offices at Gurgaon, India.

Given the frequency and durations of meetings (both local and remote), the Actis team incorporated more intuitive tools in key meeting rooms. The solution designed and implemented included touch interactive screens and wireless BYOD connectivity for data sharing to create a more intuitive environment for presenters. Both local and centralised control of room features including lighting was enabled via a Crestron control system.
While the project involved preparing about 25 rooms for presentations, meetings and conferencing – the key rooms where more advanced collaboration was enabled include the 8 and 12-seat meeting rooms, 20-seat boardroom, cafeteria/town hall room and a 52-seat training room.

Actis incorporated the Crestron DigitalMedia™ into the design for Coca Cola India’s facilities to simplify the cable connectivity and distribution. The organization benefits from simpler cable management and maintenance processes both at the time of installation and in the long run. This also reduces cabling costs substantially, since CAT 5 and CAT 6 cables are used for audio, video and control.

AirMedia® technology is used to help enable quick and convenient connectivity to presenters for laptops and other mobile devices – it also allows simultaneous display of the content from multiple devices when required.
The lighting, sources, displays and video switching in individual rooms is managed with local Crestron DigitalMediaTM switchers (DMPS3-4K-150-C), which are controlled via iPads running Crestron Mobile Pro G® software. The use of DigitalMediaTM ensures that the basic meeting and collaboration systems are 4K ready (only displays need to be upgraded) and extends the productive life of the infrastructure and also provides greater flexibility in integration.

What did the client want to achieve?

Coca Cola India wanted to streamline the process and experience of conducting meetings (both local and via video conferencing) and training sessions by upgrading to more intuitive and convenient tools. Wireless presenting and touch interactive control were key elements of this process.

Actis was selected to undertake the design, implementation and audio visual integration for the entire project – in close consultation with the Coca Cola India team. This included about 25 rooms for presentations, meetings and conferencing and training applications.

What key challenges were faced?

A key requirement for Coca Cola was simplicity and convenience in executives getting meetings going quickly without involving the IT team. Given the high usage anticipated in meeting and conference rooms, it was important to avoid the typical delays when presenters need to get started.

How were those challenges resolved?

Actis created a future-ready and flexible collaboration infrastructure with tools like wireless presentation and iPad based control for a more intuitive experience in larger meeting and board rooms. In smaller meetings rooms, more basic yet user-friendly infrastructure was incorporated.

How has your work helped the client:

The new meeting and collaboration infrastructure has been embraced by executives at Coca Cola India, who have quickly gained comfort in their use. Both adoption and use of video collaboration has grown and meetings (both remote and local) are smoother and more productive.

What are you most proud of in relation to the project?

Ensuring that video collaboration and meeting infrastructure is both flexible and affordable is challenging, especially with limited budgets. Our team was able to provide a system that is extremely intuitive, while allowing support for further improvement through future upgrades.
